JOB PURPOSE:

Working closely supporting a Program Manager, you’ll bring your passion for managing projects including monitoring project plans, schedules, organizing stakeholder meetings, and ensuring that project deadlines are met in a timely manner.

You will be responsible for documenting and following up on important actions and decisions from meetings, preparing necessary presentation materials for meetings and providing administrative support as needed.

RESPONSIBILITIES:

Program Coordination Responsibilities:

Coordinating project communication within the team to ensure tasks are tracked in Asana and completed on time.
Assisting in answering support inquiries
Scheduling and note-taking for internal meetings
Attending relevant live sessions, acting as session support
Capturing, collating reports from webinars and other program delivery such as chats, transcripts and Q&As
Using Infusionsoft CRM to monitor program elements
Generating process documents and reviewing and testing program Membership Area pages
Training and/or assisting in training coach hosts, facilitators and faculty in technical areas such as Membership site, Zoom breakout rooms, Slack
Managing project-related paperwork by ensuring all necessary materials are current, properly filed and stored
Monitoring and reporting on project progress and monitoring and improving processes as required
Evaluating potential problems and technical hitches and developing solutions
External Team/Stakeholders Coordination Responsibilities:

Managing project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails and disseminating to appropriate parties
Gathering/retrieving faculty content such as powerpoints, handouts and other resources
Preparing and sharing required documentation to external stakeholders such as themed questions to be answered
Coordinating meetings with faculty, facilitators, thought-leaders and other external stakeholders

PROFILE

Takes initiative and works well within a team, and has the ability to reach out to others, learn from them and learn from others, capitalize on internal knowledge and documentation
Has a background in Project Management or project management support (minimum-1 year), preferably in an Online/Digital Marketing related engagement
Has knowledge/understanding of Slack, Gmail, Google Drive and Asana
Has experience working remotely, with the ability to maintain communication and collaboration in a remote environment
Has excellent communication skills and the ability to handle rapid development and change requests
Data-driven, meticulous with details
Able to manage competing priorities
Has excellent communication in English, spoken, heard, and written
